Export a meeting

Export a meeting to share it with people who don’t use MeetCap: as a Word document, a PDF, Markdown, or a subtitle file. Exporting makes a copy. The meeting itself doesn’t change.

  1. In the meeting window, select the meeting.
  2. Click Export at the top right, then choose a format.
  3. Choose where to save the file, then click Save.

When it’s done, MeetCap says what it exported. Click Show in Finder to see the file.

  • Word document and PDF: The meeting title, when it took place and how long it lasted, the minutes, and the transcript. Each point in the minutes links to its line in the transcript.
  • Markdown: A new folder with copies of the meeting note and the transcript. The links between them still work.
  • Subtitle file: The transcript as a .vtt file with speaker names, for use with a video player.

If summaries were written during the meeting, the Word document or PDF comes with a second file that holds them. It has the same name with “ · Summaries” added. A Markdown export puts the summaries in its folder.

A meeting without minutes yet can still be exported. In a Word document or PDF, the summaries take the place of the minutes.

A Word document or PDF uses the minutes in the language the meeting window shows. To export the other language, click English or 中文 at the top first.

If the meeting has no minutes in that language yet, write them first. See Write minutes and change their language.

  • You can export a meeting once it has ended.
  • You can’t save an export inside your meeting library.
  • A PDF uses a font that comes with macOS. If MeetCap can’t find the font, export a Word document instead.
  • To read a meeting yourself, you don’t need to export it. The notes are already in your meeting library. See Use MeetCap with Obsidian.
meetcap export 20261013-1847-weekly-sync-1wk6 --to docx --out ~/Desktop
Exported to /Users/you/Desktop/Weekly sync · 2026-10-13.docx
  • --to takes md, docx, pdf, or vtt.
  • For docx and pdf, --lang zh or --lang en chooses the minutes. The default is the library’s language.
  • Without --out, the export goes in the current folder. If a file with that name is already there, MeetCap adds a number to the new name.

You can also tell your agent “Export yesterday’s meeting as a Word document.” It tells you where the file is.
