Transcribe a recording

MeetCap can transcribe a recording you already have, such as a Teams recording, a voice memo from your phone, or an MP3 someone sent you. You get the same transcript, speakers, and minutes as for a meeting you record.

  1. Click the MeetCap icon in the menu bar, then click Transcribe recording at the bottom.
  2. Drag the file to the window, or click Choose File.
  3. Enter a title, or leave it blank to use the file name.
  4. Click Transcribe.

MeetCap can transcribe M4A, MP3, WAV, AIFF, MP4, and MOV files.

Other ways to open the same window:

  • In the meeting window, click New, then Transcribe Recording.
  • Right-click the menu bar icon and choose Transcribe Recording.
  • With the meeting window in front, choose File › Transcribe Recording, or press ⌘O.
  • Drag the file onto the meeting window. The window opens with the file already chosen.

Drag several files to the window, or choose several. Each file becomes a meeting of its own, named after the file. To leave a file out, click Remove on its row.

To skip the window, drag one or more files onto the MeetCap icon in the menu bar. Each one starts at once, named after its file. You can rename a meeting later.

The meeting appears in the meeting list at once, with Transcribing and how far along it is. Its page shows each step and about how long is left.

You can close the window. MeetCap notifies you when it’s done, the same way as after a recorded meeting. You can transcribe several recordings at a time, and record a meeting while another recording is being transcribed.

To stop, click Cancel at the top of its page. MeetCap stops at once and moves the meeting to the Trash. Your original file stays where it is.

MeetCap doesn’t copy the recording. It plays the meeting back from your original file. If you move or delete that file, you can’t play the meeting back, but the transcript and minutes stay.

If the file is still in the cloud, MeetCap downloads it first and shows the progress. If the download stops, keep the file on this computer as shown in Files in the cloud, then try again.

Transcribing needs speech recognition, which MeetCap downloads during first-time setup. If the download hasn’t finished, wait until it has, then add the file again.

meetcap transcribe "Weekly sync.m4a" --title "Weekly sync"

It shows its progress, and returns when the transcript is done. It ends with the recording’s length, lines, and speakers, and where the meeting is:

This recording runs 1 minute 30 seconds, 16 lines, 3 speakers.
This meeting is at /Users/you/Documents/MeetCap/20261013-1847-weekly-sync-1wk6.

If you know how many people speak, add --participants with that number, from 1 to 50. MeetCap then finds no more speakers than that.

You can also tell your agent “Transcribe ~/Downloads/interview.m4a”. See Use MeetCap with your agent.
