Get names and terms right with the glossary
The glossary lists the names and terms that come up in your meetings, such as people’s names, products, clients, and abbreviations. Speech recognition listens for these words, and summaries and minutes spell them this way. When the AI writes the minutes, it also uses them to fix misheard words in the transcript.
Add a term
Section titled “Add a term”- Open Settings and click Glossary.
- Below the table, type the term in the Spelling field, written the way it should appear.
- If you like, fill in Often misheard as and Note. Separate misheard forms with commas.
- Click Add.
The term appears at the end of the table. If the spelling is already there, MeetCap says so and doesn’t add it again.
What each column does
Section titled “What each column does”- Spelling: How the term is written. Speech recognition listens for it, and summaries and minutes spell it this way.
- Often misheard as: The ways the transcript gets it wrong, such as “a roller” for “Aurora.” The AI uses this to fix the transcript after the meeting.
- Note: What the term is, such as “Q4 launch project.” The AI reads it when it writes summaries and minutes.
When a new term takes effect
Section titled “When a new term takes effect”Speech recognition reads the glossary when a recording starts, and again when the meeting ends.
- Terms you add before a meeting starts are used in its captions.
- Terms you add during a meeting aren’t used in its captions, but they’re used in the final transcript.
- Terms you add after a meeting ends don’t change that meeting’s transcript. When you write the minutes again, the AI uses it to fix the transcript and the minutes.
- If you’re transcribing a recorded file, add terms before you start.
Summaries and minutes always use the current glossary.
Terms that captions and transcription can’t use
Section titled “Terms that captions and transcription can’t use”Captions and transcription can’t use a term whose spelling contains numbers, unusual characters, or symbols other than hyphens (-) and apostrophes (’), such as GPT-4o. The term’s row says Not used for captions or transcription. Summaries, transcript corrections, and minutes still use it, so the transcript can still be corrected after the meeting.
Terms MeetCap adds
Section titled “Terms MeetCap adds”When the AI writes the minutes, it can add names and terms from that meeting that the glossary doesn’t have yet. Each one’s note ends with the meeting it came from, such as “(from 20261013-1847-weekly-sync-1wk6).” If one is wrong, delete it. MeetCap doesn’t change the terms you added.
Delete or change a term
Section titled “Delete or change a term”- Open Settings and click Glossary.
- Click Delete at the end of the term’s row.
Recognition and minutes stop using a deleted term. To change a term, delete it and add it again, or edit glossary.md.
Edit glossary.md
Section titled “Edit glossary.md”The glossary is the file glossary.md at the top level of your meeting library. It’s a Markdown table with columns for the spelling, misheard forms, and note. Separate misheard forms with commas.
You can edit the file in any text editor, or in Obsidian. A cell can’t contain a vertical bar (|) or a line break. When MeetCap adds terms, it keeps what you wrote. See Files and folders.
Use the glossary on several Macs
Section titled “Use the glossary on several Macs”The glossary is part of your meeting library. If the library is in iCloud Drive or another sync folder, every Mac that uses it has the same glossary. When you move the library, the glossary moves with it.
